Booking an event

Please follow the steps below to book your event into the College calendar, as well as requesting any catering requirements, publicity or technical support.

Humanities Society Gatsby Room

1. Plan ahead

If you would like to book resources (catering, room set up, AV support) or publicity for your event, please allow the Conference and Events teams four weeks' notice. We are a small team and some of us work part-time, and need four weeks' notice to provide the best publicity for your event: two weeks to finalise the details and then two weeks to advertise the event. We also need four weeks' notice to ensure that someone in our IT team is available to provide the right AV support, particularly for events outside of standard office hours.

We will do our best to accommodate events booked after the four-week notice period, but the College may not be able to provide all the support you request. If you have any questions, please contact conferences@wolfson.cam.ac.uk.

2. Choose a date for your event

Check the College Events Calendar to find the best date for your event. We ask all event organisers to consider:

  • Are other similar events taking place that day, week, or month?
  • Is there an event taking place that might have the same audience as your event?
  • Would you be interested in collaborating with another event, or would you prefer to find a different date?

3. Choose a room for your event

The table below shows the capacity and facilities of bookable rooms in College. Click on the room name to check the availability.

Accessibility
All meeting spaces within Wolfson College are accessible, apart from Fuchs House Music Room.
Please be sure to inform the Conference & Events team of any requirements you may have, at the time of booking, to ensure the most appropriate location is reserved for you (conferences@wolfson.cam.ac.uk).
Accessible toilets are located at the far end of the Gallery, on the first floor of Bredon House; in the Lee Hall foyer; and on the ground floor of the Chancellor’s Centre.
